Job Brief: The K5Y pEXtv NuKFF78HRE is looking for a precise, systems-minded, quality-obsessed builder who enjoys making things work behind the scenes. The Marketing Operations Lead is responsible for building, maintaining, and improving the systems and processes that support our marketing campaigns and donor engagement efforts.

This is a hands-on role focused on the technical and operational side of marketing—from setting up campaigns and managing marketing automation to maintaining accurate data and making sure every campaign can be properly tracked and measured.

Working closely with the Director of Marketing Operations, this person will build and test campaigns in HubSpot, manage campaign workflows in ••••••••, maintain tracking and reporting standards, and ensure our marketing technology works together effectively. Their work helps the marketing team reach the right audiences, deliver the right messages, and understand what is working.

Key Responsibilities

Campaign Infrastructure & Tracking

• Set up and test the technical components of marketing campaigns, including tracking links (UTMs), tracking pixels, conversion events, and campaign tags across digital advertising platforms such as Meta, Google, YouTube, TikTok, and connected TV (CTV).

• Test campaign landing pages, forms, links, and conversion paths to ensure everything works correctly before launch.

• Maintain consistent campaign naming, tagging, and tracking standards so results can be accurately measured and reported.

• Manage campaign launch checklists and quality assurance (QA) to catch and resolve issues before campaigns go live.

• Document tracking standards and processes to ensure consistency across campaigns and channels.

HubSpot Build & Campaign Operations

• Build and maintain marketing campaigns in HubSpot, including audience lists, forms, automated workflows, contact lifecycle stages, lead scoring, and campaign tracking.

• Organize contacts into the appropriate audience segments to support targeted and relevant communications.

• Build and schedule email and SMS campaigns, including templates, audience selections, automated workflows, and A/B tests.

• Review audience overlap and communication schedules to prevent contacts from receiving too many or conflicting messages.

• Manage campaign workflows in ••••••••, including project intake, timelines, task assignments, launch schedules, and quality checks.

• Ensure campaigns follow established processes and are completed accurately and on schedule.

Data Integrity & Systems

• Maintain accurate, consistent data across HubSpot, the giving platform, and connected data systems.

• Monitor data transfers between platforms, resolve syncing issues, identify duplicate records, and maintain clean contact lists.

• Monitor data quality in key donor and marketing fields, working toward established accuracy standards and reporting on data health.

• Monitor email deliverability, contact list health, bounce rates, and unsubscribe trends; identify potential issues and bring them to the attention of the appropriate team members.

• Assist the Director of Marketing Operations with technology vendors, system integrations, platform testing, and system transitions.

• Create and maintain process documentation, standard operating procedures, and Tango guides so recurring tasks can be completed consistently.

Reporting & Continuous Improvement

• Build and maintain marketing dashboards and recurring reports that help team members understand campaign activity and performance.

• Monitor campaign data and identify issues such as broken tracking, unexpected performance changes, or campaigns falling behind schedule.

• Partner with Growth Marketing to set up campaign tests that produce accurate, useful results.

• Support post-campaign reviews by providing reliable data and reporting on campaign performance.

• Identify opportunities to improve marketing systems, workflows, and processes.

Qualifications

• 3+ years of experience in marketing operations, marketing technology, CRM administration, or related field.

• Hands-on experience with HubSpot, including marketing automation, workflows, contact management, and campaign setup. HubSpot certification is a plus.

• Working knowledge of digital marketing tracking, including UTM parameters, tracking pixels, conversion events, Google Analytics 4 (GA4), and campaign attribution.

• Experience building, testing, and troubleshooting automated email and SMS campaigns.

• Strong data and analytical skills, including advanced spreadsheet proficiency. SQL experience is a plus.

• Experience maintaining data quality and managing integrations between marketing platforms or CRM systems.

• Highly organized and detail-oriented, with the ability to manage multiple campaigns and deadlines without sacrificing accuracy.

• Strong problem-solving skills and the confidence to identify and address issues before they affect a campaign launch.

• Experience with nonprofit marketing or donor management platforms such as WeGive, Virtuous, Salesforce Nonprofit Cloud/NPSP, or Blackbaud is a plus.

• Clear, collaborative communicator who works well with marketing teammates, cross-functional partners, and technology vendors.

This Role Is For You If…

• You enjoy building systems and processes that make complicated work run smoothly

• You get real satisfaction from a clean build — correct tags, firing pixels, tested flows, nothing left to chance

• You are the person who catches the broken link others miss before the send goes out

• You prefer creating reliable processes over repeatedly fixing preventable problems

• You believe accurate data is a form of stewardship, not just a reporting requirement

• You want your work to serve a mission that matters eternally

This Role Is Not For You If…

• You are primarily interested in developing marketing strategy, setting campaign direction, or managing creative concept

• You prefer big-picture thinking over hands-in-the-system execution

• You find repeatable process work draining rather than satisfying

• You are uncomfortable articulating problems, holding launch standards, or recommending that a campaign wait until an issue is resolved
